Job Summary

We're seeking an experienced and highly motivated Remote Administrative Support Specialist/ Customer Service Representative to join our team. As a key member of our remote team, you'll be responsible for providing exceptional customer service, administrative support, and travel planning expertise to our clients. Responsibilities

As a Remote Administrative Support Specialist/ Customer Service Representative, you'll be responsible for the following key responsibilities:

  • Foster teamwork and collaboration: You'll work closely with your teammates to achieve our goals, providing support and assistance as needed to ensure seamless communication and collaboration.
  • Surprise and delight our clients: You'll go above and beyond to deliver exceptional customer experiences, innovating and improving our processes to ensure that every client feels valued and appreciated.
  • Respond to client requests and questions: You'll provide timely and effective responses to client inquiries, ensuring that their needs are met and their expectations are exceeded.
  • Apply for payments and send payment reminders: You'll manage client payments and send reminders as needed to ensure that our clients are aware of their financial obligations.
  • Manage flight changes and seat assignments: You'll work closely with our clients to manage flight changes and seat assignments, ensuring that their travel plans are adjusted accordingly.
  • Concierge-related details for clients: You'll assist our clients with concierge-related details, such as spa, touring, and dinner reservations, to ensure that their travel experience is seamless and enjoyable.
  • Correspond with clients on preferences: You'll communicate with our clients to understand their preferences and arrange surprises and welcome notes to make their travel experience even more special.
  • Notify hotels of client preferences: You'll notify hotels of our clients' preferences no later than 1 week before departure to ensure that their needs are met.
  • Prepare client documents and travel tips: You'll prepare client documents and travel tips, either electronically or in hard copy, to ensure that our clients are well-prepared for their trip.
  • Update daily activity, reporting, and status in cloud-based CRM: You'll update our cloud-based CRM system with daily activity, reporting, and status to ensure that our team is informed and up-to-date.
  • Set schedules and manage time effectively: You'll manage your time effectively, setting schedules and prioritizing tasks to ensure that our clients' needs are met.
  • Manage client profiles and bookings: You'll manage client profiles and bookings, ensuring that our clients' travel plans are accurate and up-to-date.
  • Serve as backup travel support/main point of contact: You'll serve as backup travel support/main point of contact as needed, providing emergency support to our clients outside of normal office hours.
