Why This Role Matters

In today’s data‑driven healthcare landscape, accurate and timely medical records are the backbone of patient care, compliance audits, and legal proceedings. As a Remote Customer Service Representative at arenaflex, you will be the frontline liaison between our organization and the countless provider offices that house these vital records. Your work will directly influence the speed and quality of data delivery, helping our clients meet regulatory deadlines, improve patient outcomes, and reduce administrative bottlenecks.

Position Overview

This full‑time, 100% remote position is designed for motivated individuals who excel in communication, possess a keen eye for detail, and thrive in fast‑paced environments. You will be responsible for outbound outreach to medical providers, securing missing documentation, and accurately entering that information into our secure database. The role offers a competitive hourly rate of $14, flexible scheduling, and the opportunity to work from anywhere with a reliable internet connection.

Key Responsibilities

  • Initiate outbound telephone calls, emails, and fax communications to provider offices to request missing or incomplete medical records for audit projects.
  • Navigate electronic health record (EHR) portals, secure fax lines, and mail systems to retrieve documentation, ensuring compliance with HIPAA and other privacy regulations.
  • Log each interaction meticulously in the arenaflex database, capturing provider responses, document receipt dates, and any follow‑up actions required.
  • Collaborate closely with internal audit teams, project managers, and quality assurance specialists to meet stringent project timelines.
  • Escalate unresolved requests or provider concerns to senior staff while maintaining professional and courteous communication.
  • Participate in ongoing training sessions, webinars, and knowledge‑share meetings to stay current on medical terminology, EMR platforms, and regulatory updates.
  • Assist with ad‑hoc projects such as data validation, report generation, and process improvement initiatives as directed by leadership.

Essential Qualifications

  • Education: High school diploma or equivalent; additional certifications in healthcare administration or customer service are a plus.
  • Experience: Minimum of 1 year in a call‑center environment, preferably within the healthcare or medical records domain.
  • Technical Proficiency: Ability to type at least 40 words per minute and navigate multiple browser tabs in Google Chrome with ease.
  • Equipment: Own a reliable PC or laptop, a functional mouse, and a headset that meet arenaflex’s remote work standards.
  • Communication Skills: Clear, articulate spoken English and professional written communication, with a demonstrated ability to convey complex information simply.
  • Adaptability: Capacity to absorb a fast‑paced training curriculum and apply new knowledge quickly.

Preferred Qualifications & Additional Assets

  • Familiarity with medical terminology, coding systems (ICD‑10, CPT), or prior exposure to EMR platforms.
  • Experience handling confidential health information in compliance with HIPAA regulations.
  • Previous remote work experience, demonstrating self‑discipline, time management, and a productive home office setup.
  • Strong problem‑solving abilities, especially when navigating provider gatekeepers or complex documentation requests.

Core Skills & Competencies

  • Customer‑Centric Mindset: Prioritizing provider satisfaction while achieving internal audit goals.
  • Attention to Detail: Accurate data entry and meticulous record‑keeping to avoid errors that could affect compliance.
  • Organizational Skills: Managing multiple case files simultaneously, tracking deadlines, and maintaining a clean workflow.
  • Interpersonal Skills: Building rapport with busy medical staff, understanding their constraints, and negotiating timely document delivery.
  • Tech Savvy: Comfortable using cloud‑based CRM tools, spreadsheet software, and secure file‑transfer systems.

Training, Development & Career Growth

  • Fundamentals of medical records retrieval, privacy laws, and audit processes.
